Perkins Coie is looking for an experienced, dynamic individual to take on the Financial Specialist role as the single point of contact for select partners regarding the financial operation and performance of their practice. The Financial Specialist is involved from initial client/matter intake, through oversight of time entry and WIP review, to pro forma distribution and retrieval, and coordination with billing and collections teams and reporting needs. The individual is expected to provide assigned partners with insight into the financial performance of their practice.

The Financial Specialist will be closely aligned with groups that provide financial service, including Conflicts, New Business Intake, Finance Intake, Billing and Collections. By working closely with these other providers, the goal is more seamless and efficient delivery of financial services by removing obstacles, reducing partner administrative time, and improving financial performance.

ESSENTIAL FUNCTIONS

These essential functions are primary job duties that incumbents must be able to perform unassisted or with some reasonable accommodation.

  • Setting up/auditing new clients/matters via PBI, coordinating proper rate/fee arrangement setup, and ensuring all finance data is complete and accurate.
  • Ensuring OCG requirements and engagement letter requirements are communicated to legal teams; coordinating with client teams as required.
  • Communicating special billing instructions to billing team as needed as part of pro forma review process (including AFAs, deal closings, etc.) and investigating issues as needed.
  • Regularly reviewing time entries for compliance with firm and client guidelines.
  • Tracking pro forma review and submittal process to ensure all WIP is billed timely.
  • Confirming invoices are posted and delivered to clients on a timely basis.
  • Working with E-Billing to resolve blockers and/or rejections.
  • Working with pricing teams to ensure rates are updated and accurate.
  • Monitoring accounts receivable and GBNF ("gone but not forgotten") accruals; working with collections team as needed to follow up on aged invoices.
  • Confirming cash receipts application instructions; actively managing unallocated balances and trust accounts.
  • Providing client financial reporting to client leads and/or clients as needed.

SPECIFIC SKILLS REQUIRED

Ability to express self effectively, both orally and in writing, to partners and their clients. Ability to present professionally on the phone and in video conference calls. Proficiency with MS Office. Above average problem-solving skills. Ability to analyze and organize work for maximum efficiency. Strong eye for detail and critical thinking skills. Ability to work in a client-centric, deadline-driven environment. Intermediate experience with Excel is recommended.

SPECIFIC SKILLS PREFERRED

Relevant knowledge/familiarity with the firm's financial software, including PBI, Elite 3E, Intapp Suite, Proforma Tracker, and Rate Navigator.

EDUCATION AND EXPERIENCE

Qualified candidates will have 3+ years of professional services or accounting experience, as well as a four-year undergraduate degree or equivalent preferred.
